Privacy Policy

1. Scope and contact. Operaitor develops specialised industrial AI software. This policy covers processing for the website, public demo, business workspaces and management portals. Privacy enquiries: partner@operaitor.app. Public contact location: Amsterdam, The Netherlands.

2. Language and preferences. To suggest a default language, we determine the country associated with your IP address using a local database, without an external location service. You can change the language yourself. With consent, we save language and display preferences and use the optional usage measurements described below. The tool may also store functional settings and progress in your browser.

3. Data we process. Contact enquiries use your name, email and message, with company details optional. AI features process relevant questions, images and document content. Use only non-confidential examples without personal data in the public demo. For business and manager accounts, we process email, sign-in credentials, role, workspace assignments and access and security records.

4. Technical data and measurements. Hosting and security services may process IP addresses and request metadata. Functional measurements cover demo sessions, workspace usage, requests, response times, errors, completed training, topic categories and AI usage and cost estimates. Managers see totals for assigned workspaces, not full question or logbook text in these measurements. Session counts are not people counts and topic mentions are not confirmed faults. Measurements are not necessarily anonymous. Our optional usage measurements are described in the cookie policy.

5. Third-party service providers. We use third-party providers for hosting, database management, file storage, AI processing and email delivery. They process the data needed to provide their services. Account data, workspace records and uploaded files may be stored in separate systems. AI providers process relevant questions, images and document content. Email services process the information needed to deliver messages. Information about specific recipients of your data is available at partner@operaitor.app.

6. Purposes and legal grounds. We process data for requested features, enquiries, access management, security and service improvement. Where applicable, this relies on an agreement or steps taken at your request before an agreement. Business correspondence, functional measurements and abuse prevention rely on legitimate interests. Optional website preferences and usage measurements rely on consent, not advertising profiling.

7. Sharing. Information is shared with the technical providers described above only as needed for hosting, storage, AI processing, email delivery and service operation and security, and with competent authorities when legally required. The contact-form acknowledgement concerns handling your enquiry and is not marketing permission.

8. Retention. Public demo operational logbook records expire after 7 days. This does not apply to all data or business workspaces. Temporary chat uploads expire after 6 hours and answer-source references after 30 minutes. Management measurements and operational statistics are retained for 30 days and periodically cleaned up. Saved SOPs have no automatic expiry. Business documents and records follow their settings, deletion actions and agreed retention policy. Contact, account and security records remain as needed for their purpose or legal obligations. Browser data remains until deletion, session storage expires and optional website preferences are removed on withdrawal. Expiry does not mean immediate physical deletion from backups or providers. Externally processed data follows the provider's applicable retention policy. Backups support recovery and follow their own retention policies. Database backups do not automatically include separately stored files.

9. Your rights and ending access. Where applicable, you may request access, correction, erasure, restriction, objection or portability of your data. Ending access to the tool does not automatically delete your manager account or shared workspace data and is not full data erasure. Send erasure requests to partner@operaitor.app. You may withdraw consent at any time without affecting earlier processing and complain to the Autoriteit Persoonsgegevens or your local supervisory authority.

10. Automated decisions. The website and public demo support users. They do not make solely automated decisions with legal or similarly significant effects about you.

11. International processing and updates. Providers may process data outside the EEA. Contact partner@operaitor.app for recipients, processing locations and applicable transfer arrangements for your data. Policy updates are published on this page.
